LAUSD’s Beyond the Bell (BTB) Digital Transformation

IHI partnered with BTB to create a scalable, digital platform for attendance tracking and grant management. The solution modernized operations, improved compliance, and equipped the program for sustainable growth.

Overview

The Los Angeles Unified School District (LAUSD) Beyond the Bell (BTB) program provides high-quality, supervised after-school programs to thousands of students across 1,000 schools, supporting over 500,000 students. However, BTB faced operational inefficiencies in attendance tracking, compliance reporting, and funding management.

IHI developed a full-stack, AI-powered platform, enabling real-time attendance tracking, automated grant funding management, and seamless collaboration between program administrators, educators, and stakeholders.

==The Challenge==

BTB encountered several challenges in its expansion and digital transformation:

  • Manual Attendance Tracking: The program relied on paper-based attendance records, leading to delays, inaccuracies, and compliance risks.
  • State & Federal Compliance Requirements: BTB needed a centralized reporting system to meet strict funding and regulatory mandates.
  • Lack of Transparency & Real-Time Access: Program executives and site administrators struggled to monitor attendance trends, program performance, and funding distribution.
  • Scalability for Future Growth: The existing system could not support the increasing number of participants and sites.

==The Solution==

IHI implemented a custom digital platform that streamlined attendance tracking, grant funding management, and program-wide collaboration.

Key Features Implemented:

  • AI-Driven Attendance Tracking – Digitized the check-in/check-out process, reducing errors and manual data entry.
  • Automated Grant Funding Optimization – Integrated real-time funding calculations, ensuring accurate resource allocation based on attendance metrics.
  • Role-Based Data Access & Dashboards – Provided administrators, site coordinators, and educators with tailored insights into student participation and program efficiency.
  • Mobile & Web-Based User Access – Designed a user-friendly, mobile-optimized interface for seamless site-level reporting and executive decision-making.
  • Scalable Cloud-Based Infrastructure – Ensured high performance, security, and adaptability for program expansion.

==The Outcome==

The digital transformation of BTB led to measurable operational and financial improvements:

  • Significant efficiency gains, reducing administrative workload and streamlining operations.
  • Real-time transparency into program performance, enhancing data accuracy and funding compliance.
  • Fostered a collaborative digital environment, enabling seamless communication among program staff and stakeholders.
  • Scalability for future program expansion, supporting new before and after-school initiatives.
